Privacy Policy
Effective October 21, 2026
Royal VA Academy ("we," "us," "our") respects your privacy. This policy explains what we collect, how we use it, and the choices you have. We write it in plain language on purpose. If anything is unclear, email hello@royalvaacademy.com.
1. Information we collect
- Admin account info: admin email and securely stored sign-in details. Workshop buyers do not need an account.
- Registration & payments: workshops you sign up for, full name, email, phone, registration source, attendance, amounts paid, and Stripe transaction IDs. We never see or store your full card number.
- Eventbrite registrations: registrations Marie adds manually from Eventbrite, including name, email, phone and attendance.
- Communications: messages you send us.
- Usage data: pages visited, device type, and anonymized analytics.
2. How we use it
- To manage workshops, send registration details and share the Royal VA Collective invite link.
- To process payments and issue receipts.
- To send workshop registration details and respond to your questions.
- To improve our website, content, and workshop experience.
We only email you about workshops you registered for.
3. Artificial intelligence (AI)
We use AI tools to support our work.
- Blog content generation. Some articles on this site are drafted with the help of large language models and reviewed by our team before publishing. AI-assisted posts are written from Marie's voice and curriculum, not from your personal data.
- Operational AI assistants. We may use AI to help triage support emails, summarize workshop questions, or draft internal notes. A human always reviews anything sent back to you.
- No training on your data. We do not sell your personal information to AI vendors and we do not knowingly allow third-party providers to train their public models on your private admin account data, payment records or workshop submissions.
- Automated decisions. We do not use AI to make decisions that have legal or similarly significant effects on you (such as denying enrollment or processing refunds) without human review.
- Your content + AI. If you share work for workshop feedback, we may use de-identified, aggregated patterns to improve our curriculum. We will never publish your individual work without permission.
4. Sharing
We share data only with the vendors that make this business run: payment processing (Stripe), community signup and participation (Heartbeat), email delivery, hosting and database (Lovable Cloud), and analytics. Each vendor is bound by its own privacy and security obligations. We do not sell your personal data.
- Eventbrite: tickets bought there are governed by Eventbrite's own privacy policy.
- ClickUp: the workshop calendar embedded on this site is hosted by ClickUp and may set its own cookies.
5. Data retention
We keep workshop registration and payment records for up to seven years for tax and bookkeeping requirements. Admin sign-in details are retained while administration access is needed. Heartbeat manages Collective accounts under its own privacy policy. You can request deletion at any time (see Section 7).
6. Security
Passwords are hashed, payments are tokenized through Stripe, and access to admin systems is restricted. No system is perfectly secure, but we treat your data the way we'd want ours treated.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information. Email hello@royalvaacademy.com and we'll respond within 30 days.
We only email you about workshops you registered for.
8. Photos at workshops
We may take photos during workshops to share in the Royal VA Collective or on social media. If you'd rather not be in photos, tell us at check-in or email hello@royalvaacademy.com and we'll respect that.
9. Children
Workshops and the Royal VA Collective are for adults 18 and older. We do not knowingly collect data from anyone under 18.
10. Updates
If we materially change this policy we'll update the effective date above and notify affected workshop attendees by email when needed.
